Instructions for Fee-for-Service Providers

These instructions are for Fee-for-Service (FFS) providers. If you are credentialed in one or more Managed Care Organizations (MCOs) and do not participate in FFS, you will receive additional information and instructions directly from those health plans.

The first step to take immediately is to make sure the primary account holder using the current Virginia Medicaid web portal has submitted a valid and unique email address and phone number. The phone number MUST be a mobile phone number. The deadline to complete this step is January 11, 2022. If you fail to make sure your information is up-to-date, you may not be able to access the new PRSS portal in the spring of 2022.

If you have already made these updates, you do not need to take any additional action at this time.

In some cases, providers now use the same email address for multiple primary account holder registrations. In MES, the email address will be the user ID for the primary account holder. The new system requires each primary account holder to have a unique email address for each provider or provider group. Because of improved security measures, primary account holders cannot share a single email address.

Also, please submit a mobile phone number that you can use to receive verification codes, part of increased security measures using multi-factor authentication.

Please access the Virginia Medicaid web portal and update the email address and mobile phone number for the primary account holder if those contacts are no longer valid. If you currently use a single email address on the web portal for more than one primary account holder, please update your information to include a unique email address for each provider or provider group.

Visit Medicaid Portal.

We will send regular updates to providers using the contact information you have on file with Virginia Medicaid.

Next Steps

Please watch for updates from us as we continue our work to launch this new system for Medicaid providers. We will share more information in the coming months, and we will ask you to take the following actions:

  • January 2022: Access training videos and other resources.
  • March 2022: Register for PRSS portal access and confirm delegate administrators

Please continue to follow the process you use today to submit claims and view payment status on the Virginia Medicaid web portal.

We will keep you informed as the project progresses so that you have plenty of time to participate in training, ask questions and get responses to your questions.

You can find additional instructions on how to update your primary account holder information in the top right corner of the homepage for the Virginia Medicaid web portal. You can also submit questions to this address: virginiamedicaidpahsupport@conduent.com.
